Position Title:    Chief Accounting Officer

Supervisor: Founder and Owner

Division/Department: Accounting Services

FLSA Status: Full-Time Exempt, 1 FTE, 55-60 hrs/week

Pay Grade: Based on experience

SUMMARY

Responsible for overseeing the operations of N4N’s accounting services. Implements and manages accounting systems and recognizes efficiencies to provide expert-level services in accordance with accounting principles generally accepted in the United States of America. Provides supervision and support to N4N’s Directors of Nonprofit Consulting. This role has the potential for ownership consideration.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Client Relations
    1. Working with account leads to gain a basic knowledge of each of N4N’s clients with the goal of becoming the main high-level contact for each client.
    2. Evaluating client agreements and rate and time analyses to ensure profitability.
    3. Offering process improvement recommendations to account leads as observed and creating a plan for implementation.
  2. Client Accounting Supervision
    1. Managing staff as they perform day-to-day accounting tasks and monthly close processes for clients, as assigned by the Founder and Owner.
    2. Quick response time to client inquiries and requests (typically within 24 hours).
    3. Restructuring account lead assignments as appropriate.
  3. Client Onboarding
    1. Involved with new client onboarding to ensure a smooth transition.
    2. Providing client and account lead support as needed.
  4. Audit Preparations
    1. Managing the audit season to meet and/or exceed deadlines.
    2. Coordinating the scheduling and completion of client audits with external CPA firms and other parties.
    3. Available for onsite meetings with auditors and acting as liaison between client and auditor.
  5. Financial Statement Review and Projection
    1. Overseeing the monthly financial statement review process.
    2. Projecting annual results using current month financials and assumptions through the end of the client’s fiscal year.
  6. Technology Utilization and Continuing Education
    1. Researching and recommending a Client Dashboard tool. Managing and updating Client dashboards.
    2. Working with the Operations team on the acquisition and maintenance of a Client Relationship Management system and possible software.
    3. Researching and educating staff on updates to accounting laws and policies.
    4. Demonstrating an expert understanding of Generally Accepted Accounting Principles.
  7. Staff Support and supervision
    1. Direct supervision of Directors of Nonprofit Consulting. Oversight of the Directors of Nonprofit Consulting staff’s supervision of Nonprofit Accounting Consultants and Accounting Assistants.
    2. Available for fielding questions from client account leads.
    3. Developing a plan for crossover and training to cover client work seamlessly for account leads during periods of time away.
    4. Providing support to the Founder and Owner as needed and performing other job duties as assigned by the Founder and Owner.

JOB QUALIFICATIONS

  1. Necessary Education or Work Experience
    1. Bachelor’s degree in accounting, business, finance, or a related field
    2. 5 – 10 years’ experience in an equivalent position
    3. 3 – 5 years QuickBooks experience
    4. Certified Public Accountant licensing preferred
    5. Form 990 filing experience preferred
  2. Required Knowledge and Skills
    1. High level of comfort in QuickBooks desktop, QuickBooks Online, and Excel
    2. Intermediate skills in Word and Outlook
    3. Familiarity with online bill payment software
    4. Professional demeanor and customer service skills
    5. Organization skills and attention to detail
    6. Ability to maintain confidentiality
  3. Other Qualifications/Requirements
    1. Mandatory attendance at firm’s annual customer appreciation party, typically occurring in late spring/early summer.
    2. Occasional evening/weekend attendance at client events may be requested.
    3. A reliable mode of transportation for traveling from home office to client sites and other meeting locations.

PHYSICAL DEMANDS AND WORK ENVIRONMENT

N4N functions in a remote environment as well as at numerous client sites. N4N will provide equipment to be used both in the employee’s home office and at client sites. Clients may provide a work station in some instances. This position requires the ability to do one or more of the following throughout the day: stand, walk, sit, bend, and reach above and below shoulder level. Involves frequent repetitive motion (keyboarding, etc.). The noise level in the work environment is usually quiet to moderate.

Responsible for implementing the general accounting, financial reporting, and development of standardized processes for N4N’s clients. Manages accounting systems and recognizes efficiencies to provide expert-level services in accordance with accounting principles generally accepted in the United States of America. Provides supervision and support to N4N’s nonprofit accounting consultants and accounting assistants.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Client Relations
    1. Working with account leads to support each of N4N’s clients.
    2. Evaluating client agreements and rate and time analyses to ensure profitability.
    3. Implementing process improvement recommendations.
  2. Client Accounting Supervision
    1. Managing staff as they perform day-to-day accounting tasks and monthly close processes for clients, as assigned by the Chief Accounting Officer.
    2. Quick response time to client inquiries and requests (typically within 24 hours).
    3. Willingness to act as main contact and interim account lead for assigned clients to ensure monthly financials are completed accurately and on time until an account lead is assigned and/or during an account lead’s absence.
  3. Client Onboarding
    1. Involved with new client onboarding to ensure a smooth transition.
    2. Providing client and account lead support as needed.
  4. Audit Preparations
    1. Managing the audit season to meet and/or exceed deadlines.
    2. Available for onsite meetings with auditors and acting as liaison between client and auditors.
    3. Working with account leads to provide any documentation requested by the auditors on behalf of the client.
  5. Financial Statement Review and Projection
    1. Reviewing monthly financial statements assembled by accounting staff. Communicating any discrepancies and/or recommendations to account leads within 24 hours of discovery.
  6. Staff Support and supervision
    1. Supervision of nonprofit accounting consultants and accounting assistants as assigned.
    2. Available for fielding questions from client account leads.
    3. Developing a plan for crossover and training to cover client work seamlessly for account leads during periods of time away.
    4. Providing support to the Chief Accounting Officer and Owner as needed and performing other job duties as assigned by the Chief Accounting Officer and Owner.

Position Title:    Nonprofit Accounting Consultant

Supervisor: Director of Nonprofit Consulting

Division/Department: Accounting Services

FLSA Status: Full-Time Exempt, 40-50 hours/week

SUMMARY

Responsible for assisting with the day-to-day bookkeeping, general accounting, and financial reporting for N4N’s clients. Works together with N4N’s Directors of Nonprofit Consulting, Accounting Assistants, and other staff on accounting projects and onboarding new clients as needed. Promotes clients’ missions through accurate, dependable, and timely performance of services.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Multiple Client Accounting
    1. Manages day-to-day accounting needs and monthly close processes of clients as assigned.
    2. Acts as main contact and account lead for assigned clients to prepare and confirm monthly financials are completed accurately and on time.
    3. Completes interim bank reconciliations, credit card entry, and makes online payments for client credit cards, retirement contributions, and life and disability premiums.
    4. Assists with Bill.com transactions, follows up on old checks and aging AR items, and performs other AP/AR tasks as requested.
    5. Obtains bank statements, donor statements, and other documents through approved online access of the clients’ portals.
    1. Creates/pulls reports as requested by clients.
  1. Fills in grant tracking spreadsheets with actuals.
  2. Responds promptly to client inquiries and requests.
  1. Special Projects
    1. Cross trains on other account leads’ clients to build redundancy and coverage.
    2. Assists with the onboarding process of new clients. Works together with assigned account lead to ensure a smooth transition.
    3. Provides support to other staff as needed.
  2. Audit Preparations
    1. Provides any documentation requested by the auditors on behalf of the client.
    2. Makes sure final documents are complete and saved to client files.
  3. Staff Support and supervision
    1. Supervision of accounting assistants as assigned.
    2. Available for fielding questions from accounting assistants.
    3. Providing support to the Directors of Nonprofit Consulting as needed and performing other job duties as assigned by the Directors of Nonprofit Consulting.

  2. Required Knowledge and Skills
    1. High level of comfort in QuickBooks desktop, QuickBooks Online, and Excel
    2. Intermediate skills in Word and Outlook
    3. Comfort with multitasking and concurrently managing the needs of multiple clients.
    4. Familiarity with online bill payment software
    5. Professional demeanor and customer service skills
    6. Organization skills and attention to detail
    7. Ability to maintain confidentiality
    8. Willingness to communicate responsively via various means – phone, email, text, in-person.
  3. Other Qualifications/Requirements
    1. Mandatory attendance at firm’s annual customer appreciation party, typically occurring in late spring/early summer.
    2. Occasional evening/weekend attendance at client events may be requested.
    3. A reliable mode of transportation for traveling from home office to client sites, Milwaukee office, and other meeting locations. A copy of a valid driver’s license and personal auto insurance information will be requested and kept on file.
